Job Purpose

  • Coordination of the administration of the Nigeria West Africa Cluster offices and the first point of contact for related support functions and service providers.
  • Provision of secretariat/Administrative support to the Commercial Manager and the functional leadership team.

Key Accountabilities
Office coordination and management:

  • Coordination of admin support and resource management
  • Act as a representative of Admin functions with leadership
  • Ensure that office supplies and services are maintained at appropriate levels
    • Monitor service levels
    • Monitor inventory
    • Ensure that contract service levels are met
    • Collaborate with procurement to ensure cost-effectiveness

Corporate Admin:

  • Support the Functional Leads and the Country Manager in the administration of all administrative tasks related to the Pfizer entity
    • Nigeria Office, Ghana, Senegal, and the Ivory Coast 3rd-party offices
    • Coordination of stakeholders/signatories relating to the legal entity
    • Ensure requisite registrations and documentation are up-to-date
    • Management and retention of related visas

Selected Commercial Manager admin:

  • As agreed with CM
    • Calendar management
    • Travel planning and visa processing
    • Commercial meetings planning
    • Additional tasks as required

Global Operations:

  • First point of contact for Global Ops - Dubai
  • Interface with local contractor (Broll)
  • Ensure that the site is maintained to Pfizer defined standards
    • Physical site inspections are conducted weekly
    • Review of Broll invoicing
    • Oversight of maintenance (planned and one-off)

  • Provide strategic recommendations to CM / Global Ops re site maintenance, development and usage

Visitor Travel Management:

  • Manage protocol and coordinate local travel itinerary for Pfizer colleagues travelling to Lagos
  • Liaise with embassies and airlines (travel agencies) for visas and flight routings
  • Assist with Visa applications, immigration activities as required
  • Liaise with relevant functions: assistants, security, logistics providers

Additional Projects As Required By Commercial Manager:

  • EHS point of contact
  • HR support as required
  • ISO support as requested

Experience and Knowledge

  • 3 years or more in a similar position, E.g. Office management, PA
  • Further education in management, finance, and HR is advantageous
  • MS Office competent
  • Good written and verbal communication skills.
