You will play a pivotal support role, assisting the Administrative and People Operations Manager in overseeing essential administrative functions and various aspects of Human Resources operations. The ideal candidate will combine strong organizational skills with exceptional communication abilities.
Key Responsibilities: HR, Admin, and Compliance
Your work will be split across crucial functional areas, ensuring compliance and smooth operations across the organization:
1. Administrative & Facilities Management:
Assist in managing general administrative functions, including office management, facilities maintenance, and the efficient procurement of office supplies.
Support the development and implementation of administrative policies and procedures to ensure smooth operations.
2. Regulatory Compliance & Government Relations:
Help process all required regulatory permits and licenses for our facilities.
Actively engage with governmental agencies to guarantee compliance with relevant regulations and requirements, including attendance during inspections.
3. People Operations (HR):
Aid in managing the full scope of HR operations, including recruitment, onboarding, attendance, payroll, performance management, employee relations, and offboarding processes.
Assist in recruitment activities (job postings, screening, interviewing, selection) and facilitate new employee onboarding processes (orientation and training).
Collaborate with department heads to identify staffing needs and develop strategies for talent acquisition and retention.
Assist in the administration of employee benefits programs (enrollment, changes, termination).
Maintain accurate employee records and ensure compliance with relevant employment laws.
Help manage internal communication channels and coordinate employee training and development initiatives.
4. Payroll & Performance Management:
Assist in preparing payroll schedules, including attendance records, and ensure the accurate and timely processing of employee payments, tax withholdings, and benefits deductions, adhering to all regulations.
Support employee performance appraisal processes and provide guidance to supervisors and employees on performance management.
Assist in handling employee relations issues and grievances, conducting investigations, and implementing appropriate resolutions.
💡 Competencies and Reporting
We are seeking a reliable, discreet, and proficient assistant with the following profile:
Education: Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred, but not mandatory.
Experience: Proven work experience as an Administrative and People Operations Clerk, or in a similar HR/administrative role.
Technical Proficiency: Proficiency in HRIS (Human Resources Information Systems) and Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint, and OneDrive) and other relevant software.
Knowledge: Strong understanding of administrative processes, HR management principles, and knowledge of employment laws and regulations.
Key Skills: Excellent organizational, multitasking, and time management abilities. Exceptional attention to detail and accuracy. Strong problem-solving and decision-making skills.
Personal Qualities: Integrity and the ability to handle sensitive and confidential information with discretion. Effective communication and strong interpersonal skills to build relationships at all organizational levels.
Reporting Relationships:
Reports to: Administrative and People Operations Manager.
Key Collaborations: Compliance and Legal, Finance and Accounts, and Operations Departments.
External Interactions: Government Agencies, Statutory Bodies, and Regulatory Bodies.
What We Offer (Benefits & Compensation)
Salary: N200,000 - N250,000 per month.
Leave: 14 days block leave and 7 days flexible leave.
